Choose a reliable starting point

Use a balance from immediately before the period you are checking. Record its effective date and whether pending leave is already deducted. A current dashboard balance may include approved future leave, while a payroll statement may show only posted transactions. Mixing those definitions can make a correct ledger look wrong. Choose posted or projected transactions deliberately and keep the comparison consistent.

Enter earnings from the relevant policy

The ledger accepts the hours earned at each event; it does not calculate eligibility from hire dates or infer a tenure tier. For a simple 120-hour allowance across 26 periods, the unrounded rate is 120 divided by 26. If the policy credits a rounded amount each period, use that credited amount when reconciling. Do not silently replace the actual postings with a theoretically smoother annual allocation.

Find the first point of disagreement

Suppose the opening balance matches and the first three rows agree, but the fourth does not. Check that transaction’s date, amount, type, cap and same-day order before changing earlier records. A missing leave deduction, a manual adjustment or a rounded accrual can each cause a persistent difference. Comparing the first disagreement is usually more informative than making an unexplained adjustment to force the final balance to match.

Handle resets and negative balances explicitly

For a year-end expiration or carryover reset, reconcile the closing period first, record the authorized new opening balance, then begin another ledger. Leave can create a negative balance in this tool, but that does not mean borrowing is permitted. When the actual policy prevents negative balances, treat the notice as a case to resolve against approved leave records. Retain an anonymous CSV if you need to discuss the calculation without sharing employee data.

Only when you intentionally want a projected available balance. For reconciliation of posted records, include transactions on the same basis as the record being checked.
