An earned PTO balance and an available-to-book balance can be different. The earned balance records hours credited and used up to a particular date. An available-to-book figure may also reserve approved future leave or include future accrual. Read the system's definition before subtracting anything.
Name each balance and its date
Suppose your earned balance today is 64 hours and you have 24 hours of approved future leave. If those bookings have not already reduced the displayed balance, the uncommitted balance is 64 − 24 = 40 hours. If the system already displays 40 after reserving the bookings, subtracting 24 again would incorrectly show 16.
Keep “earned today,” “reserved for future leave” and “projected on a future date” as separate figures. A single word such as available is not precise enough when different screens use different treatments.
| Item | Hours |
|---|---|
| Earned balance today | 64 |
| Approved future bookings | 24 |
| Uncommitted earned hours | 40 |
| Expected credits before a later date | 12 |
| Projected uncommitted balance at that date | 52 |
Forecast only credits that arrive in time
If three four-hour credits will post before the proposed leave starts, the simple projection adds 12 hours. A credit dated after the leave starts does not fund the balance at departure under this model. Use actual posting dates, not just the number of pay periods in the month.
Check whether a cap would prevent any projected credit from posting. If the balance is already at the cap before a booked absence occurs, adding every expected credit can overstate future availability. A dated ledger handles that sequence more accurately than one year-end addition.
Distinguish requested from approved leave
Pending requests may or may not reserve hours in the system. Show them in a separate scenario until their status is clear. For example, report a base projection containing approved leave and a second projection including pending requests. Do not quietly mix the two and present the result as an established balance.
If a request is cancelled, reverse only the reservation or deduction actually recorded. A request that never reduced the balance does not justify an extra positive adjustment. Keep a reference to the request so the reversal can be traced.
Reconcile with the leave system
Use opening earned balance plus posted credits minus posted use plus adjustments to reproduce the current ledger. Then reconcile reservations separately. If the displayed figure still differs, check its as-of date, request status, treatment of future accrual and whether it includes more than one leave bank.
The example describes a bookkeeping method, not a promise that an employer allows borrowing against future accrual. The organization's policy determines which balance can support a request and whether approval is required.
Frequently asked questions
Can my booked leave exceed my earned balance?
Some systems display future bookings against projected accrual or permitted advances. Others do not. The arithmetic alone cannot establish permission; check what the displayed balance includes.
Should a booked day always subtract eight hours?
Use the hours charged under the applicable schedule and policy. A ten-hour scheduled day and an eight-hour day may require different deductions.
