Calculate Shift Handover Overlap Hours

Measure handover person-hours, distinguish extra staffing from existing overlap, and check whether handovers reduce active service coverage.

A handover uses time from the people attending it. A 15-minute discussion between one outgoing employee and one incoming employee consumes 30 person-minutes. However, it does not necessarily add 30 paid minutes to the roster: both employees might already be scheduled during that interval. Track attendance, scheduled overlap and added hours separately.

Count participants and occurrences

Use duration × participants × occurrences for handover attendee-hours. Suppose two people attend a 15-minute handover three times each day. The daily allocation is 0.25 × 2 × 3 = 1.5 person-hours. Across seven days, that is 10.5 attendee-hours.

If three outgoing and three incoming employees attend each handover, the same duration instead uses 0.25 × 6 × 3 × 7 = 31.5 person-hours per week. Counting only the duration of the meeting understates the amount of team time assigned to it.

Identify what is actually extra

Consider an outgoing employee scheduled until 16:00 and an incoming employee normally scheduled from 16:00. Moving the incoming start to 15:45 creates 15 additional scheduled minutes for that employee. The outgoing employee's 15:45–16:00 time was already scheduled. The handover uses 30 attendee-minutes but adds only 15 minutes to this roster.

If both people already overlap for another reason, no extension may be needed. If both shifts are extended, count both extensions. State the original roster before presenting any added-hours estimate.

Check who covers the service

Two people on the roster do not necessarily mean two people available to serve customers during handover. If both are unavailable for service, someone else may need to cover the position. If one remains available, document that assumption and consider whether interruptions lengthen the handover.

Use separate columns for scheduled attendance and service availability. This prevents the same overlap from being counted as full service coverage while also being allocated entirely to a meeting. It also makes the requirement for a relief person visible.

Compare a proposed change fairly

Shortening each handover from 15 to ten minutes in the two-person, three-times-daily example reduces attendee-hours from 10.5 to seven per week. The difference is 3.5 person-hours. The reduction in extra roster hours may be smaller because only part of the original meeting extended the schedule.

Check whether preparation, written notes or follow-up work increases when the meeting gets shorter. A change should preserve the information needed for continuity. The calculation estimates time allocation; it does not measure the quality or safety of the handover.

Frequently asked questions

Should I add handover time to shift length?

Only if it falls outside the shift duration already recorded. Otherwise the addition duplicates time that is already in the roster.

Can the same overlap provide break relief?

Only when a person is actually available for that relief. Do not assign the same person to an uninterrupted handover and an incompatible coverage duty at the same time.
