Model availability instead of paid status

Coverage asks who can perform the required work at each moment. A paid break can still make someone unavailable to cover a desk. Conversely, a recorded shift duration does not reveal when the employee is off the floor. Decide which activities remove a person from the role and represent those intervals explicitly. Keep the payroll treatment of the break separate from the coverage calculation.

Split a shift around the break

For a person working 09:00–17:00 with an unavailable interval from 12:00 to 12:30, enter 09:00,12:00,1 and 12:30,17:00,1. Do not also enter the unsplit 09:00–17:00 row: that would count the same person twice for most of the day. When several people have different break times, enter their segments separately or group only those with identical availability.

Test staggered breaks against the target

Two people on 09:00–17:00 shifts cannot both take a 12:00–12:30 break while maintaining even a one-person target. Staggering the second break to 12:30–13:00 maintains one-person coverage, but it still does not maintain a two-person target. If two are required continuously, a relief person or another valid operational change is needed. The target determines whether staggering alone solves the gap.

Check overnight and repeating-day assumptions

The coverage checker repeats the entered roster every day. A 22:00–06:00 shift covers late evening and early morning in that repeating cycle. It does not know that an individual works only Monday or that a one-off shift begins tomorrow. Use a representative day only when the repetition assumption fits, and review unusual dates separately. The exported intervals document the modeled coverage rather than a named employee assignment.

Does the tool deduct breaks automatically?

No. Split the available shift segments around each break. This lets you represent the actual break time instead of subtracting minutes from an unspecified part of the shift.

Can I count a supervisor as relief?

Only if that person is actually available and qualified for the covered role during the interval. Enter the relief segment and check the operational assumption separately.

Can grouping employees hide a break gap?

Yes. Group rows only when those people have identical available intervals. Different break times need separate segments so the model counts the right people at each moment.
